## The document

Welcome Pack
____ (Company name)
Welcome, ____ (Your full name). This pack has six short sections. Please read each one and tick or initial where it asks. Your signature at the end confirms the whole pack. If anything is unclear, ask your manager before you sign.
Your start date: ____ (Start date). Your role: ____ (Role). Your manager: ____ (Manager’s name).

Section 1: Welcome
1.1 We are glad you are joining us. Our aim is to help you do good work in a place where people are treated well, and the next few weeks are about helping you to settle in. You will have a buddy who can answer everyday questions, a manager who will meet with you every week for the first month, and a plan for what to learn and when.
1.2 In your first week you will meet your team, set up your equipment and accounts, read the policies listed in this pack, and agree your first goals with your manager. Nobody expects you to know everything yet; asking questions is part of the job.
1.3 In your first month you will take on your first real work with support, have a weekly one-to-one with your manager, and complete any training that the role requires. At the end of the month you and your manager will talk about what has gone well and what would help.
1.4 Who to ask. For questions about your work, ask your manager or buddy. For questions about pay, leave or benefits, ask ____ (the people team contact). For problems with equipment or accounts, ask ____ (the IT contact).
1.5 Your first-day details, including where to go, who to ask for and what to bring, are in section 6.

Section 2: The staff handbook
2.1 The handbook explains how we work: hours, time off, expenses, equal opportunity, safety, conduct and how to raise a concern. It is a guide and does not form a contract, and we may update it.
2.2 ____ (I have received and read the staff handbook) I have received and read the staff handbook Initials: ____ (Handbook initials)
2.3 ____ (I understand that I must treat colleagues, customers and suppliers with respect, and that harassment and discrimination are not tolerated) I understand that I must treat colleagues, customers and suppliers with respect, and that harassment and discrimination are not tolerated
2.4 Time off and absence. You will find in the handbook how to request time off, what to do if you are ill, and how public holidays work. If you cannot come to work, tell your manager as early as you can, and before your normal starting time wherever possible.
2.5 Working hours and flexibility. Your hours and place of work are set out in your offer letter. If you want to ask for a change, talk to your manager first; the handbook explains how requests are considered.
2.6 Using company systems. Company accounts, devices and networks are for work. You must keep your passwords private, use two-step sign-in where it is offered, report anything that looks like a scam or a security problem straight away, and never share your account with anyone else.
2.7 Speaking up. If something does not seem right, whether it is a safety problem, unfair treatment or something that could harm the company or its customers, you can raise it with your manager, with ____ (the person for raising concerns), or with any senior person. You will not be treated badly for raising a concern in good faith.

Section 3: Keeping things private
3.1 During your work you will see information that is not public, such as customer details, prices, plans, finances, source code and personal details of colleagues. This is confidential information.
3.2 ____ (I will keep the company’s and its customers’ private information private, during and after my employment) I will keep the company’s and its customers’ private information private, during and after my employment Initials: ____ (Privacy initials)
3.3 I will use it only for my work, store it only in the places the company approves, not copy it to personal accounts or devices, and return or delete it when I leave. I understand that nothing here stops me from reporting a concern to a government agency or from discussing my own pay and conditions.
3.4 Work I create as part of my job belongs to the company, and I will sign what is reasonably needed to confirm that. ____ (I agree) I agree
3.5 What counts as private. Examples include customer lists and contact details, prices and quotes, the company’s plans and finances, passwords and access codes, source code, designs and drafts, and anything about a colleague’s pay, health or personal life that I learn through my work.
3.6 What I will do if I make a mistake. If I send something private to the wrong person, lose a device, or think someone else has seen something they should not have, I will tell my manager at once. I understand that telling someone quickly is always better than hoping nobody notices.
3.7 When I leave. My promise to keep information private continues after I leave, for as long as the information stays private. I will return or delete everything that belongs to the company, and I will not take copies of customer details or company documents with me.
3.8 Things I am free to do. Nothing in this part stops me from talking about my own pay and working conditions with others, from reporting a possible breach of the law to a government agency, or from using my general skills and experience in later jobs.

Section 4: Equipment
4.1 The company will provide the equipment listed below. It remains the company’s property.
Item Serial or tag Condition
____ (Item 1) ____ (Serial or tag 1) ____ (Condition 1)
____ (Item 2) ____ (Serial or tag 2) ____ (Condition 2)
____ (Item 3) ____ (Serial or tag 3) ____ (Condition 3)
4.2 ____ (I will look after it and return it when I leave) I will look after it and return it when I leave Initials: ____ (Equipment initials)
4.3 Looking after it. I will keep the equipment clean and safe, use only the software and accounts that the company provides or approves, and keep the operating system and security updates switched on. I will not let anyone else, including family members, use it.
4.4 Travel and home. When I take the equipment away from the office, I will keep it with me or locked away, never leave it in a car or in view, and use the company’s secure connection when I work on anything private.
4.5 If it goes wrong. If the equipment stops working, I will contact ____ (who to contact about equipment problems). If it is lost or stolen, I will tell my manager immediately so that the company can lock or wipe it. The company will not hold me responsible for normal wear or for a fault that I did not cause.
4.6 I will tell my manager at once if anything is lost, stolen or damaged. I will use it for work and keep it secure with a screen lock and the security settings the company requires.

Section 5: Getting paid
5.1 To pay you and meet the law, the payroll team needs your tax and bank details. We collect them on a separate secure form, not on this page, and we will send you a link on your first day.
5.2 ____ (I will give the payroll team the details they need, on the form they send me, before my first pay date) I will give the payroll team the details they need, on the form they send me, before my first pay date
5.3 Proof that you are entitled to work in the United States is required by law within three working days of your start. Please bring the documents listed in section 6.
5.4 Your pay. You will be paid ____ (How often you are paid) by direct deposit. Your payslip will show your gross pay, each deduction and your net pay. If you think a payslip is wrong, tell the payroll team straight away and they will check it within five working days.
5.5 Tax and benefits. The company withholds tax from your pay as the law requires, using the information you give on your tax form. If your circumstances change, such as a new name, address or number of dependants, tell the payroll team so that your pay stays correct. Information about benefits and when you become eligible is in the handbook.
5.6 Expenses. The company will repay reasonable business expenses that your manager approved in advance, if you submit receipts within thirty days.

Section 6: Your first day
6.1 Where to go, who to ask for, what to bring, and the plan for the day: ____ (First-day details)
6.2 Documents to bring: ____ (Documents to bring)
6.3 Who to call if you are running late or cannot come in: ____ (Contact name and phone)
