Volunteer Agreement ____ (Organisation name) This agreement is between ____ (Organisation’s legal name) (the “Organisation”) and ____ (Volunteer’s full name) (the “Volunteer”). It sets out what each of us can expect from the other. It is an expression of our shared commitment and is not a contract of employment. Section 1: The role 1.1 The Volunteer will help the Organisation as ____ (Role), starting on ____ (Start date). The expected time is ____ (Hours or schedule). 1.2 The Volunteer will carry out the role with reasonable care and in line with the Organisation’s aims and policies, which the Organisation will make available. 1.3 The Volunteer’s supervisor is ____ (Supervisor’s name). The Volunteer may ask them for guidance at any time. Section 2: What the Organisation will do 2.1 Explain the role and give the training and support the Volunteer needs to do it safely. 2.2 Provide a safe place and safe equipment, and tell the Volunteer about any risk that is specific to the role. 2.3 Treat the Volunteer with respect and fairness, and without discrimination, and listen to concerns and feedback. 2.4 Reimburse reasonable expenses that were agreed in advance, if the Volunteer provides receipts: ____ (Expenses covered, if any). Section 3: What the Volunteer will do 3.1 Attend as agreed, and tell the Organisation as early as possible if the Volunteer cannot. 3.2 Follow the Organisation’s policies and the reasonable instructions of the people in charge, including those about safety, safeguarding and the care of children and vulnerable people. 3.3 Treat everyone with respect, and not take part in bullying, harassment or discrimination of any kind. 3.4 Not drink alcohol or use illegal drugs while volunteering, and not volunteer when affected by them. Section 4: Privacy 4.1 The Volunteer may see private information about people the Organisation helps, its supporters and its staff. The Volunteer will keep that information private, will use it only for the role, and will not share it, during the time they volunteer and afterwards. 4.2 The Volunteer will not post pictures or details of the people the Organisation helps on social media without the Organisation’s written permission. Section 5: Safety, insurance and risk 5.1 The Volunteer will take reasonable care of their own safety and that of others, and will report any accident, injury or near miss to their supervisor at once. 5.2 The Volunteer understands that volunteering can carry some risk of injury, and that, except where the law does not allow it, the Organisation is not responsible for injury or loss that results from those risks and was not caused by the Organisation’s negligence. The Organisation’s insurance, if any, is described in its policies. Section 6: Pictures and work 6.1 Anything the Volunteer creates for the Organisation as part of the role belongs to the Organisation. The Organisation may take photographs at its events, and the Volunteer agrees that it may use them to describe its work unless the Volunteer tells it in writing that they do not agree. Section 7: Ending this agreement 7.1 Either of us may end this agreement at any time by telling the other. The Organisation may end it straight away if the Volunteer seriously breaks it or puts anyone at risk. 7.2 When it ends, the Volunteer will return anything that belongs to the Organisation, and the duties about privacy continue. Section 8: Training and support 8.1 The Volunteer will complete the training the Organisation requires before starting and at the times it sets afterwards, including any training in safety and safeguarding. The Organisation will pay for any training that it requires. 8.2 The Organisation will review how things are going with the Volunteer after the first month and then at least once a year, and will listen to what the Volunteer wants to learn or change. Section 9: Checks and a safe environment 9.1 Where the role involves working with children or vulnerable people, the Volunteer agrees to the background checks and references that the law and the Organisation require, and understands that the role may depend on the results. 9.2 The Volunteer will tell the Organisation promptly if anything changes that could affect those checks. The Organisation will keep the results confidential and use them only to decide whether the Volunteer can do the role. Section 10: Emergency contact 10.1 If the Volunteer needs help, please contact: ____ (Emergency contact’s name), ____ (Their phone).
